How to Filter a Schedule by WBS

The WBS Filter restricts the activity table and the Gantt chart to one branch of the Work Breakdown Structure.

Apply a WBS filter

  1. On the Views tab, click WBS Filter. The panel opens on the left.

  2. Expand the structure and select a branch. The table and the Gantt immediately show only activities under it, including everything nested below.

  3. Select All at the top to return to the full schedule.

The panel colours each level of the structure by depth, so the position of a branch in the hierarchy is readable without expanding its parents.

One branch at a time. Selecting a different branch replaces the current filter rather than adding to it. To see two unrelated areas together, filter on an activity code they share instead.

The panel and the filter are independent

Clicking WBS Filter again hides the panel. It does not clear the filter. The button stays highlighted while the panel is open or a filter is applied, so the button is what tells you whether rows are being hidden.

Four ways to narrow the view

The first three apply together. A WBS branch with a critical activities filter leaves the critical work in that area only, which is the usual way to prepare an area review.

When activities are missing

Check in this order.

  1. Is a WBS filter applied? The WBS Filter button is highlighted.

  2. Is an activity filter applied? Filter then Clear Filter removes it.

  3. Is a column filter set? Clear Sort & Filter On All Columns from any column header clears them all.

  4. Does the file hold more than one project, with only some loaded?

The WBS filter in the Network Diagram

The Network Diagram view has its own WBS Filter button. It matters more there than anywhere else, because a whole schedule drawn as a network is usually too dense to read. Narrowing to one branch is what makes the diagram usable.
